Healthcare and clinics
Fill the appointment book without letting the phone run the clinic
Clinics, dental practices, physiotherapy centres, diagnostic labs and wellness studios all run on the appointment book. Reception answers the phone, checks people in and takes payments at the same time, and after closing the enquiries keep coming. We build clinic websites, booking flows, reminders and assistants that take routine work off the front desk, with one firm rule: software handles logistics, and anything clinical goes to a qualified person.
What gets in the way
Reception is doing three jobs at once
The person answering the phone is also checking patients in, taking payments and dealing with walk-ins. Calls ring out at the busiest moments, and every phone booking means writing the same details down twice.
Enquiries arrive after you close
People look for a dentist or physio in the evening, when the pain or worry is on their mind. If the only option is to call tomorrow, some will book with whichever clinic let them choose a slot tonight.
No-shows leave gaps in the diary
An empty slot is lost clinical time. Reminders sent by hand are inconsistent, and patients who need to reschedule often have no easy way to do it, so they simply do not turn up.
Patients cannot find straight answers
Which services you offer, what a first visit costs, which insurers you work with, whether a referral is needed, where to park. When the website is vague, the phone rings with questions instead of bookings.
What we build
A clinic website patients can act on
Plain-language service pages, practitioner profiles, fee and insurance information your team has approved, accessible design and a booking button on every page. If you are replacing an old site, our website redesign checklist covers what to keep.
Website design and developmentAppointment booking automation
Online booking connected to your practice management system or calendar where it offers an integration, with instant confirmation, reminders and a self-service reschedule link. If your system has no integration, we tell you before quoting and suggest the least fragile alternative.
Workflow automation and CRM integrationAn appointment booking chatbot with clear limits
Answers questions about services, timings, fees, location and preparation you have approved (for example, fasting before a blood test, if your lab requires it), and books or requests appointments. It does not diagnose, suggest treatment or interpret results, and it hands anything clinical to your staff.
AI chatbots and WhatsApp automationGoogle Business Profile and local search
Accurate categories, hours, services and photos for each location. Google's guidelines (opens in a new tab) allow public-facing practitioners such as doctors and dentists to have their own profile, with the organisation holding the profile for the location, so we set it up to match how your clinic is actually organised.
SEO, local search and AI visibilityPatient intake forms and portals
Secure pre-visit forms, so history and consent are completed before arrival rather than on a clipboard in the waiting room. Answers go straight into your system, with access limited to the staff who need them.
Web apps and customer portalsOngoing care for the site
Updates, security patches, monitoring and quick changes when fees, practitioners or opening hours change, so the website never contradicts the front desk.
Website maintenance and support
From a late-night physio enquiry to a kept appointment
An example workflow. Every build is tailored to your process.
At 10 pm someone messages your clinic asking whether you treat lower back pain and whether there is a Saturday appointment.
The assistant shares your approved description of the service and the first-visit fee, without commenting on their symptoms, and shows the open Saturday slots from your booking system.
They pick a slot and confirm their name, phone number and agreement to reminders; the booking appears in your diary with the conversation attached for reception.
A link to the pre-visit form goes out straight away, so their history is on file before they arrive.
The day before, a reminder arrives with a one-tap reschedule link, so a cancelled slot can be offered to someone else.
If the person mentions chest pain, breathing difficulty or similar warning signs at any point, the assistant stops booking, tells them to contact emergency services and flags the chat to staff.

Guides
Will the chatbot give medical advice?
No. We configure it for logistics only: services, timings, fees, location, preparation instructions you have approved, and bookings. Questions about symptoms, medication or results go to your team, and urgent wording triggers emergency guidance instead of a booking flow.
How do you handle patient data?
We collect the minimum needed, keep health details out of general chat logs where we can, restrict access by role and document where data is stored. In the UK, health data is special category data (opens in a new tab) under UK GDPR, with extra conditions for processing it; in India, the Digital Personal Data Protection Act, 2023 applies. We are not lawyers, so your data protection lead should approve the design.
Can it connect to our practice management system?
Often, if the system offers an API or a booking integration. We check this on the first call and tell you plainly if it does not, before you commit to anything. Our CRM integration guide covers the same questions for other systems.
Can we send appointment reminders on WhatsApp?
Yes, to patients who have agreed to receive them, using Meta-approved templates when the reminder falls outside the 24-hour customer service window. Keep reminders free of clinical detail: the time, the place and a reschedule link are enough. See our WhatsApp Business Platform guide.
Do you guarantee more bookings or a higher Google ranking?
No, and no one honest can. We fix the things that stop people booking, such as unclear information, slow pages and incomplete profiles, and we show you what changed so you can judge the result yourself.
