Education and training
Answer every admissions enquiry, even in peak season
Training institutes, coaching centres, tuition classes and college admissions teams share the same rhythm: quiet weeks, then a few weeks when enquiries arrive faster than counsellors can reply. Most of those enquiries ask the same things, many arrive on WhatsApp, and a parent who waits until the next afternoon for an answer may have booked a demo class elsewhere by then. We build websites, admissions assistants and follow-up automation that keep up with the peaks without replacing your counsellors. Education is also where StudAI One started: StudAI Elev8, our free AI education programme, reached 21,000+ students with Naan Mudhalvan and StartupTN, and our StudAI Foundry hackathon brought 700 participants together at SRM Institute of Science and Technology.
What gets in the way
Seasonal spikes swamp the front desk
Enquiries cluster around exam results, admission windows and new batch launches. In those weeks one counsellor can be juggling WhatsApp chats, phone calls and walk-in parents at once, and replies slip from minutes to days.
The same questions, over and over
Fees, batch timings, course duration, location, online or offline, and whether there is a free demo class. Parents ask these before anything else, and the answers live in a fee sheet, a timetable and a counsellor's memory, which do not always agree with each other.
Demo classes that go nowhere
A student attends a demo, the parent says they will think about it, and nobody follows up in a structured way. Without a record of who attended, what they asked and when to call back, warm enquiries quietly go cold.
Fee reminders and notices eat counsellor time
After enrolment the messages keep coming: instalment reminders, schedule changes, holiday notices, test results. Sent by hand from personal phones, they are slow and inconsistent, and the history disappears when a staff member leaves.
What we build
An admissions-ready website
Course pages that state duration, batch options, mode (online, offline or hybrid), eligibility and the next intake, with an enquiry form that asks only what a counsellor needs. Fees and timings come from one source, so the website, the assistant and the counsellor all say the same thing.
Website design and developmentAn admissions enquiry chatbot on WhatsApp and your website
Answers questions on fees, timings, batches and location from a sheet you approve, offers demo-class slots, and hands the chat to a named counsellor when a parent asks something it should not decide, such as scholarships, discounts or refunds.
AI chatbots and WhatsApp automationDemo-class follow-up automation
A booking confirmation, a reminder the day before, a short check-in after the demo, and a task for the counsellor if the family has not decided within the time you choose. Every step is logged against the enquiry, so nothing depends on someone remembering.
Workflow automation and CRM integrationCRM routing and counsellor handover
Each enquiry lands in a CRM with its source (website, WhatsApp, Instagram or walk-in), course of interest and consent status, and is assigned by course or branch so two counsellors never call the same parent. Our CRM integration guide explains what to check first.
Workflow automation and CRM integrationStudent and parent portals
Attendance, timetables, fee status, receipts and study material behind a login, so parents check the portal instead of messaging the office. We build these as web apps that work in a phone browser, with no app store download needed.
Web apps and customer portalsLocal search for each branch
A properly set-up Google Business Profile for each centre and a matching location page on your site, so people searching nearby find the right branch with the right hours. Our Google Business Profile guide covers the basics.
SEO, local search and AI visibility
From a 9 pm WhatsApp enquiry to a booked demo class
An example workflow. Every build is tailored to your process.
A parent messages your institute's WhatsApp number at 9 pm asking about weekend batches for a Class 11 physics course.
The assistant replies straight away with batch timings, duration and fees from your approved fee sheet, plus the address of the nearest branch.
It offers the next two demo-class slots; the parent picks Saturday at 10 am, gives the student's name and agrees to receive reminders.
The enquiry appears in your CRM with its source, course, branch, demo slot and consent, assigned to the counsellor for that course.
The day before the demo, a reminder goes out using a Meta-approved WhatsApp template, with a link to reschedule.
After the demo, the counsellor gets a follow-up task; if the parent asks about instalments or scholarships, the chat passes to them with the full history.

Guides
Will a chatbot replace our counsellors?
No. It handles the repeat questions and the out-of-hours first reply, then hands over. Decisions about admissions, scholarships, discounts and refunds stay with your staff, and parents can ask for a person at any point in the conversation.
Can we send fee reminders and batch updates on WhatsApp?
Yes, through the WhatsApp Business Platform, to parents and students who have opted in. Messages sent outside the 24-hour customer service window must use templates approved by Meta. Our WhatsApp Business Platform guide explains the rules.
We handle children's data. What should we be careful about?
Collect only what you need for admissions and teaching, and keep sensitive details out of chat transcripts where you can. In India, the Digital Personal Data Protection Act, 2023 and the DPDP Rules, 2025 (opens in a new tab) require verifiable consent from a parent or guardian before a child's personal data is processed, with limited exemptions. We build consent capture and access controls in, but your legal adviser should confirm what applies to you.
Do you have your own software for this?
StudAI One builds its own product in this space, StudAI Engage, which brings WhatsApp, Instagram, Telegram and web chat into one inbox with CRM and campaigns, so these are problems we work on every day. We will tell you plainly whether it fits, or whether the tools you already use are the better choice.
Have you worked with institutes like ours?
Our education experience comes from StudAI One's own programmes, StudAI Elev8 and StudAI Foundry, rather than from a list of institute clients. On a free 30-minute call we walk through how your admissions actually run before suggesting anything.
